AI Case Study Generator: Turn Notes into a Useful Draft

Use an AI case study generator with customer evidence and a free worksheet. Check metrics and permission, then prepare a Brainbaby presentation brief.

An AI case study generator can turn customer notes into a readable first draft. Its most important input is evidence: what changed, how you measured it, what your team actually did and what the customer permits you to publish. Without those inputs, an elegant success story can overstate the project.

This guide shows a practical workflow for agencies, consultants and customer marketers. Use the free case-study evidence worksheet to organize notes before drafting. If your deliverable is a sales presentation, the Brainbaby case-study template lets you prepare a deck brief before signing in. AI generation is a separate action governed by the allowance shown in your account.

The example below is fictional. It demonstrates calculations and editorial decisions; it is not a Brainbaby customer result or a promise that your project will produce the same change.

Start with a case study brief, not a success headline

Decide who will read the case study and what they need to assess. A prospective buyer may need to understand whether your team can handle a similar project. An internal team may need a useful account of what worked, what failed and what to repeat. These purposes call for different levels of technical detail.

Collect the original interview notes, project records and approved measurements. Record the source and date of each fact. Keep customer quotes separate from your summary so generated wording cannot accidentally become a quotation. Replace unnecessary personal or confidential information before putting the material into a tool.

Your initial evidence table can be simple:

Claim you might publishEvidence neededEditorial decision
The reporting process became fasterComparable time records and a defined taskState the task, period and measurement basis
The client liked the new workflowExact approved quote or attributed feedbackDo not invent a testimonial
Your team caused the improvementEvidence separating your work from other changesDescribe contribution without assuming causality
The customer is happy to be namedConfirmed publication permissionHold the name and logo until approval
The same result applies to every customerEvidence across the claimed populationRemove the generalization if unsupported

An AI writing tool can organize this table. It cannot establish permission, repair missing records or verify an interview simply by rewriting it.

A worked example: describe the measurement precisely

Imagine a fictional training business that changed how its team prepares workshop materials. The project involved a shared checklist, a reusable outline and a review step. The team recorded preparation time for comparable workshops before and after the change.

Fictional measurementBeforeAfter
Workshops observed44
Total preparation minutes240180
Average minutes per workshop6045

The average changed by 15 minutes, or 25% of the original 60 minutes. That arithmetic describes this small fictional example. It does not establish a statistically reliable result, prove that AI alone caused the change, or justify applying the percentage to a whole company.

A restrained sentence would be: “In this fictional sample of four workshops per period, recorded preparation time averaged 45 minutes after the workflow change, compared with 60 minutes before it.” The limitations belong near the measurement, not hidden after an exciting headline.

If a customer provided only “it feels quicker,” present it as qualitative feedback with permission. Do not translate that comment into a percentage. If the measurement periods differ, explain the difference or choose a more comparable measure before publishing.

Use a case study structure that answers buyer questions

A useful customer story usually needs context, the starting problem, the work performed, the observed outcome and the remaining limitations. The following original outline works for a written draft and can also become a presentation brief:

  1. Customer and context: who the work served and the relevant conditions.
  2. Starting problem: the specific task, baseline and constraints.
  3. Decision and approach: alternatives considered and why this approach was chosen.
  4. Implementation: what your team delivered and what the customer contributed.
  5. Observed results: measurements with units, dates and sources.
  6. Limits and lessons: other changes, unresolved issues and what you would do differently.
  7. Next step: the next decision, expansion or relevant invitation for the reader.

Keep the implementation concrete. “Improved productivity with AI” tells a buyer little. “Introduced a shared outline, assigned an approver and checked all workshop materials against the final attendee list” describes work someone can evaluate. Do not turn an illustrative teaching example into a published customer testimonial.

For another perspective, HubSpot's case-study generator describes creating drafts from customer material and managing a published case-study library. That may suit teams whose workflow already centers on a CRM. This Brainbaby guide focuses on preparing your own evidence and a reviewable presentation brief; it does not claim equivalent CRM synchronization or publishing automation.

Give the AI an evidence-bound prompt

Adapt this original prompt for your authorized notes:

Draft a case study for [audience] using only the supplied material. Separate customer context, challenge, work performed, results and limitations. Attach each quantitative claim to its source, period, units and comparison basis. Use direct quotations only when supplied verbatim and marked approved. Mark gaps as [EVIDENCE NEEDED]. Do not invent customer names, logos, testimonials, percentages or causality. Keep proposed next steps separate from achieved results. Source notes: [authorized notes].

Inspect the result against the evidence table. A common problem is that the model joins two true facts into an unsupported conclusion: a new workflow launched, and revenue later rose, therefore the workflow caused the increase. Ask it to describe the sequence without making that causal claim unless you have evidence for it.

You can also request a shorter version without changing facts: “Reduce the draft to a one-page overview. Preserve the measurement basis, qualifications and exact approved quotation.” Then check that the shortened version has not discarded the limitations that made the longer version accurate.

Turn the approved story into a case study presentation

Use the case-study presentation outline when a sales meeting needs slides rather than a long document. Put the main decision and customer context first, show the work, then explain the results with the supporting measurement beside them. Keep a detailed evidence table available for questions.

In Brainbaby's template page, choose prepare your brief, add the company or topic, audience, goal and source notes, and continue through sign-in. Review the brief and slide count before confirming generation. The temporary same-tab handoff keeps private notes out of the signup URL for up to 30 minutes; it is not permanent cloud storage.

The worksheet and brief preparation are free. Creating your own AI deck uses the account allowance shown at the next step. Review current plans if you expect to produce several customer stories or recurring client presentations. Do not buy based on an assumed unlimited allowance, and check the actual exported file before sharing it.

For a plain written story, use the worksheet and prompt in your preferred writing workspace, then edit the draft against the source. Brainbaby's general chat workspace is a separate writing option; this guide does not promise a dedicated case-study writing preset. For format checks, see the presentation export checklist.

Questions about AI case study generators

Can an AI case study generator make up an example?

It can help create a clearly labelled fictional example for teaching or planning. That example must not be presented as a real customer's experience. For a customer case study, start with genuine records, authorized quotes and reviewed measurements.

What if I have no measurable result yet?

Write about the delivered work, the customer's approved qualitative feedback and the measurement still planned. A useful implementation story can be honest about an incomplete evaluation. Do not call a forecast an achieved result.

Can I turn interview notes into a PowerPoint case study?

Yes, you can use authorized notes to prepare a presentation brief and generate a candidate deck with a suitable tool. Brainbaby provides a case-study outline and an editable brief handoff. You still review the generated content, account allowance and exported file; the outline alone is not a finished PowerPoint presentation.

Build your case study from evidence.

Use the worksheet to organize approved customer notes, measurements and quotations. For a presentation, open the existing case-study template and prepare your own brief before sign-in.

Prepare my case study presentation brief

The worksheet and brief preparation are free. AI presentation generation is a separate confirmation and uses your account allowance. Keep source evidence and publication approval with the draft; the AI does not verify customer results or permission.
