Meeting Notes to Action Items: AI Prompt and Template
Turn meeting notes into action items with an AI prompt, worked example and free worksheet. Prepare a follow-up draft in Brainbaby; review before sending.
To turn meeting notes into action items, extract each agreed task, the person who accepted it and the deadline actually stated. Keep decisions, proposals and unanswered questions separate. Then write the follow-up email from the reviewed action table. This gives you a practical way to use AI without turning a tentative suggestion into a commitment.
This guide includes an original fictional example, a reusable AI prompt and a free meeting-action worksheet. You can also prepare your own brief on this page, review it and open an editable Brainbaby chat draft. Preparing the brief uses no AI credits; an AI request starts only when you choose to send the draft in chat, using your account allowance.
A meeting summary and an action list serve different jobs
A summary explains the discussion. A decision log records what the group agreed. An action list records the work someone has accepted. A follow-up email puts the relevant decisions and actions in front of the people who need them.
| Record | Main question | Example |
|---|---|---|
| Summary | What did we discuss? | The team reviewed a workshop registration form. |
| Decision | What was agreed? | Keep the current registration questions for the pilot. |
| Action | Who will do what, by when? | Mira will send the revised invitation by 28 October. |
| Open question | What still needs an answer? | Who will review the accessibility checklist? |
These records can share a document, but they should stay distinguishable. “We should translate the form” belongs in proposals until someone accepts the task. A date mentioned for a different piece of work must not silently become its deadline.
Atlassian’s action-item guide recommends a clear owner, specific task, deadline and source context. Those fields make a useful review checklist. If your notes do not contain one of them, make the gap visible rather than guessing.
Worked example: meeting notes to action items
The following workshop-planning notes are fictional teaching material, written for this guide. They are not a recording, customer account, Brainbaby task execution or evidence of productivity gains.
N1. Workshop planning, 25 October 2026. Present: Mira, Arun and Lena. Keep the current registration questions for the pilot; all three agreed.
N2. Mira: “I’ll send the revised invitation to the team for review by 28 October.” It is a draft for internal review, not the final public invitation.
N3. Arun: “I can check the projector, but I need the room booking confirmed before I commit.” No booking confirmation or check date was recorded.
N4. Lena: “I’ll send the room-booking confirmation to Mira by 27 October.”
N5. Someone suggested translating the registration form into Hindi. No owner, approval or deadline was agreed.
N6. The accessibility checklist still needs a reviewer. No person accepted the review and no due date was recorded.
N7. No next-meeting date was agreed. No tasks have been reported complete in these notes.
Reviewed action table
| Source | Action or question | Owner | Due | Classification |
|---|---|---|---|---|
| N2 | Send the revised invitation to the team for review | Mira | 28 October 2026 | Agreed action; completion unverified |
| N4 | Send the room-booking confirmation to Mira | Lena | 27 October 2026 | Agreed action; completion unverified |
| N3 | Confirm whether Arun can check the projector after the booking is confirmed | Not assigned for clarification | Not agreed | Conditional proposal; do not assign as accepted work |
| N5 | Decide whether to translate the registration form into Hindi | Not assigned | Not agreed | Proposal requiring a decision |
| N6 | Assign a reviewer and date for the accessibility checklist | Not assigned | Not agreed | Open question |
There are two agreed actions, one conditional proposal, one translation proposal and one open review question. N1 is a decision, not an additional task. N7 does not justify scheduling a follow-up or marking any work done.
A less careful draft might assign Arun the projector check for 27 October, borrowing Lena’s deadline. It might also turn Hindi translation into an approved deliverable. Both changes would create work that the notes do not support. The source column makes those mistakes easier to catch.
Follow-up email from the reviewed table
The email below is an original fictional draft, prepared from the notes above. It has not been sent.
Subject: Workshop pilot — decisions and next steps, 25 October
Hi Mira, Arun and Lena,
We agreed to keep the current registration questions for the pilot.
Mira will send the revised invitation to the team for review by 28 October. Lena will send the room-booking confirmation to Mira by 27 October. Both actions still need completion confirmation.
Arun’s projector check remains conditional on the booking; no check date was agreed. We also need a decision on Hindi translation and an owner and date for the accessibility review.
Please reply with any corrections and confirm who can resolve the open questions. A next meeting has not been scheduled.
Notice that the email asks for clarification. It does not claim that a calendar invitation was sent, that Arun accepted the work or that the internal invitation draft is ready for public distribution.
AI prompt for extracting meeting action items
Use a two-pass prompt: extract the record first, then draft the message from the reviewed record. Replace the brackets with material you are allowed to share.
Read these meeting notes as source material. First produce four sections: decisions, agreed actions, proposals or conditions, and open questions. Give each item its source ID or a short supporting excerpt. For agreed actions include task, accepted owner, stated due date and completion evidence. Write “not stated” for missing fields; do not infer acceptance, dates or completion. Keep conditional offers and suggestions outside the agreed-action table. List contradictions for review. After I confirm the table, draft a short follow-up email for [audience] in [language]. Do not send messages, assign tasks or create calendar events. Notes: [paste authorized notes with source IDs].
Read the extraction before requesting the email. If the source is ambiguous, correct your notes or ask the participants. A fluent output is not a confirmation that the group agreed to it.
For longer transcripts, work in sections with stable speaker names and timestamps. Keep a final combined action register so the same commitment is not counted twice. The planner on this page accepts up to 5,000 characters of source notes; it is a short-note drafting brief, not a meeting recording service or a full-transcript importer.
Prepare the follow-up in Brainbaby
Use the meeting-action brief form below the article. Start with the fictional example to inspect the format, then replace it with your authorized notes. Add your meeting date, intended recipients and any terminology or language requirements. Preparing the brief creates text locally in the browser; it does not call an AI model.
Review the editable brief before choosing Open editable draft in Brainbaby. Your text stays out of the link and interaction analytics. Continuing preserves the draft in the same browser tab for the normal sign-in return. Sign in or create an account, review the draft in chat and choose whether to send it. That AI request uses your current chat allowance; check plans and usage limits if you need more capacity.
The workflow does not connect Teams, Zoom, Google Meet or your inbox, and it does not record audio. It does not automatically send the recap, create task-board entries or schedule reminders. Review the output and perform those separate actions in the appropriate tools. A free account’s available chat allowance is distinct from image and video credits; this page does not promise a free image or video generation.
Before using confidential meeting material, review Brainbaby’s privacy policy and request-processing disclosure. Remove unnecessary customer identifiers and details you cannot share. Local brief preparation and submitting an AI request are different steps: submitted content is processed by the backend and the services involved in that request.
Keep the next meeting’s action register accurate
Carry the reviewed actions forward with stable IDs. Update a row only when you have a new source: the owner’s completion message, a document link or an agreed revised deadline. Preserve the original date alongside the new one when a commitment changes.
For example, if Mira later confirms that the invitation draft was sent, add that confirmation and date to N2’s record. Do not mark N4 complete merely because N2 is done. A task being mentioned in an email is not proof that someone carried it out.
For client work, include an approval boundary: internal draft, client review or approved for publication. If the notes lead to a commercial proposal, use the discovery-call-to-proposal guide to keep agreed scope and unapproved options separate. For a periodic review, the monthly client report template helps organize results and the next decision.
Check these fields before sharing
- Does every agreed action have evidence that its owner accepted it?
- Does each deadline come from the same task’s source record?
- Are proposals, dependencies and missing owners visible?
- Are completed tasks supported by a later confirmation?
- Does the email reach only the people authorized to receive its details?
- Have recipients had a chance to correct a misunderstanding?
These checks are useful whether the draft comes from a person, an AI assistant or a meeting product. Microsoft’s Teams recap guidance also tells users to verify AI results because they can be incorrect. Its Teams workflow is separate from this Brainbaby notes-to-draft workflow; no integration or equivalent recording capability is claimed here.
Common questions
Can AI turn handwritten meeting notes into action items?
Start with readable typed notes, or use a separate extraction tool and check its transcription. This page’s planner accepts text. It does not scan handwriting or establish that an OCR result correctly identifies a person or date.
What if there is no owner or deadline?
Keep the missing field explicit and ask for confirmation. You can propose an owner or date in a separate recommendation, but label it as a proposal until the person accepts it. Do not present a suggested assignment as a meeting decision.
Can I draft the email in Hindi, Urdu or Turkish?
Specify the output language in the brief and preserve names, dates and technical terms from the source. Check the translation with someone who understands the context. Translating the email must not change a conditional offer into an accepted obligation.
Is the worksheet free, and does the page use credits?
The blank worksheet, example and local brief preparation are free without an account. AI drafting happens after you send a chat request and uses your account allowance. The pricing page explains current plans; the planner does not start a purchase.
Does this create reminders or send the follow-up?
No. It prepares a drafting request. You review the AI output and choose the separate sending, task-management or calendar actions. An action appearing in a generated table is not an executed task.
For a single message rather than a meeting register, use the AI email-writing planner. For this workflow, prepare your meeting-action brief with the notes and decisions you want to preserve.
