# AI Meeting Notes: Decisions and Action Items

A meeting summary is useful when people can see what was decided and what they must do next. Use authorized notes or a transcript you may process. Ask AI to separate decisions, action items and open questions, then let participants confirm the record before it becomes an operating instruction.

## Your brief

1. Supply permitted notes with speaker or role labels where needed. Follow the organization’s consent and recording rules; remove unrelated private discussion.

2. Identify confirmed decisions and tentative suggestions in the source. Include exact dates when available and the meeting time zone for relative deadlines.

3. List who will approve the minutes and where actions are tracked. A generated action list does not automatically create calendar events or send follow-ups.

## Prompt

Summarize [authorized notes] into purpose, confirmed decisions, actions and open questions. For actions use task, owner, due date and source evidence. Mark unknown owners or dates unknown. Do not turn suggestions into commitments. Preserve disagreements that affect the decision. Draft a short confirmation message for participants; do not send it or schedule anything.

## Illustrative example

Illustrative source: ‘We could try a demo next week; Aisha will confirm availability.’ The action is to confirm availability, not to deliver a demo on an invented date. If no one approved the demo, it remains a proposal. The minutes keep that distinction and ask participants to confirm the record.

## Acceptance checks

- [ ] Does every action have evidence of a commitment, with unknown fields left visible?
- [ ] Are tentative ideas and unresolved disagreements separated from decisions?
- [ ] Have participants approved the record before tasks, reminders or messages are executed?

Do not assume that a generated action table has updated a calendar or project system. Drafting notes, creating a task and sending a notification are separate actions that require appropriate access and authorization.
